Trackers, budgets, packing lists
I run every outreach off one live sheet: item, quantity, cost, vendor, owner, status. Same sheet would hold your gifting BOM, inventory counts, and items sent, returned, damaged or pending.
Google Calendar
Timelines & deadlines
Backward-planned from event day: vendor confirmation dates, pickup and dispatch windows, setup and breakdown slots, with reminders that trigger the follow-up before it is late.
Notion
SOPs & project briefs
One page per project: brief, checklist, vendor contacts, execution notes, and post-project lessons. New team members and temp staff can pick it up without a briefing call.
Zoho CRM
Project & client stages
I use Zoho to track exactly what stage a project or client is at: enquiry, quote sent, order confirmed, in production, packed, dispatched, delivered. Nothing sits in someone's head, and follow-ups are dated.
WhatsApp Business
Vendor & team comms
Labelled chats and broadcast lists per project, with written confirmation of every verbal agreement. That is how I ran three states at once without being physically present.
Google Workspace & MS Office
Docs, forms, reporting
Forms for inventory counts and site checklists that feed straight into a sheet, plus clean end-of-project reports the wider team can act on.

Flyers, labels, presentation
Event flyers, holiday and festive season flyers, gift tags, labels, thank-you cards, packing inserts and client mood boards, produced fast and on brand so presentation never waits on a designer.

I built VOA from a single orphanage visit into a structured organisation running outreaches across Lagos, Owerri, Abuja and Enugu. I plan, budget and run these projects remotely: needs assessment visits, vendor and supplier sourcing, packing lists, dispatch, on-ground team leads, and a public financial report after every outreach.
